AI/LLM Services

our artificial intelligence, machine-learning, large language model, computer vision, generative AI and related technologies used to process User Inputs and generate Outputs.

Hosting Services

the components of our Services that store, process, and host Engineering Content uploaded by you, and that generate, store, and make available the resulting Generated Output (including 3D models and video content) to you, on servers owned, registered, or leased by us or our third-party infrastructure providers.

Outputs

any images, 3D representations, models, visualizations, videos, analyses, interpretations, recommendations, instructions, or other content generated or returned by the Services based on User Inputs.

Personal Data

any personal information relating to an identified or identifiable natural person; an identifiable natural person is one who can be identified, directly or indirectly, in particular by reference to an identifier such as a name, an identification number, location data, an online identifier or to one or more factors specific to the physical, physiological, genetic, mental, economic, cultural or social identity of that natural person. Personal Data may include your name and email address, including information provided in connection with account registration or authentication, as well as payment-related information processed through authorised third-party payment service providers in connection with payments for our Services.

User Inputs

any information, data or content submitted, uploaded, transmitted, provided or otherwise made available by you through the Services, including prompts, text, images, photographs, engineering drawings, technical drawings, CAD files, blueprints, machine or machine-part images, 3D models, meshes, or files, dimensions, specifications, instructions, manuals, documents, annotations, metadata and other materials.

Services

Our Services are designed to enable Users to access and use AI/LLM-powered tools for analyzing, interpreting, processing and generating content relating to machines, machine parts, engineering and technical information. Depending on the Services made available from time to time, the Services may include tools that receive images, engineering drawings, technical drawings, CAD files, documents, text, instructions or other User Inputs and generate analyses, 3D representations, visualizations, models, videos or other Outputs.

Our Services may include, without limitation:

• AI/LLM-powered analysis and interpretation of engineering, technical and machine-related information;
• Tools for processing images or other representations of machine parts or components;
• 2D-to-3D conversion, reconstruction, visualization or generation tools;
• Generation of 3D images, models, representations or visualizations based on User Inputs;
• Generation of animated or instructional videos relating to machines, machine parts, assembly, disassembly, repair or maintenance;
• Tools for engineering, manufacturing, aftermarket service, repair, maintenance, training and related use cases;
• Marketing and Communications: Content such as our website, newsletters, emails, and other communications used to provide marketing and support of our Services.

You may use our Services in the following ways:

• Account Registration: Signing up for a Metadome.ai account and authenticating into the platform allows you to access and use our Services, including through platform credits associated with your account.
• Uploading and Processing User Inputs: You may upload, submit or otherwise provide User Inputs, including images, engineering drawings, technical drawings, CAD files, documents, machine-part information and instructions, for processing by our AI/LLM Services.
• Receiving Outputs: You may receive Outputs generated from your User Inputs, including analyses, visualizations, 3D representations, models and/or instructional videos, depending on the functionality made available through the Services.
• Marketing and Informational Access: Accessing and viewing our websites and receiving and responding to emails and other marketing content, including newsletters, updates, and testimonials.

We collect and process information about your use of these Services in accordance with this Policy to provide, improve, and support the Services while respecting your privacy.

How we collect, use and share your Personal Data

Types of data we collect

Information received from other sources

User Inputs and uploaded content

You are solely responsible for ensuring that you have all rights, permissions, licences, consents and other lawful authority necessary to submit, upload, transmit or otherwise provide any User Inputs to us and to permit us to process such User Inputs in accordance with this Privacy Policy and the applicable Terms.

This includes ensuring that any of your User Input does not violate any confidentiality obligation, intellectual property right, trade secret, contractual restriction or applicable law.

Information sharing and disclosure

Protecting the information shared by you is very important to us and we are not in the business of selling our User’s Personal Data to others. We may share your Personal Data only with certain third parties as set forth below:

• Subsidiaries: Any member of the group, which means and includes subsidiaries, ultimate holding company and its subsidiaries, who support the processing of personal data under this policy.

Such providers may process User Inputs, Personal Data and other information solely as necessary to provide services to us and subject to applicable contractual, confidentiality and data protection obligations.
• Partners: The information may also be shared with one or more of our Partners, in which case we may share certain information with them in order to coordinate with them on providing the services to you.
• Business transfers: Sharing of information in connection with a substantial corporate transaction, such as the sale of a website, a merger, consolidation, asset sale, or in the unlikely event of bankruptcy that may have already been entered into or will enter into future agreements.

LLM-specific User Input and engineering data

User Inputs are not necessarily Personal Data. For example, an engineering drawing relating solely to a machine, component, or manufacturing process may not constitute Personal Data under applicable privacy laws. However, such User Inputs may contain or reveal confidential, proprietary, trade secret, commercially sensitive, or otherwise protected information belonging to you or another person or entity. Where User Input contains information that qualifies as Personal Data under applicable law, we will process such information in accordance with this Privacy Policy and applicable law.

Your responsibility for User Input

You are responsible for ensuring that you have all necessary rights, permissions, licenses, authorizations, and legal bases required to submit User Inputs to the Services and to permit us to process such User Inputs for the purposes described in this Privacy Policy and our Terms.

You should not upload or submit any engineering drawing, technical document, machine information, photograph, CAD file, blueprint, proprietary material, trade secret, confidential information, or other User Inputs to the Services unless you are legally entitled or otherwise authorized to do so.

Processing of User Input by our LLMs

When you submit User Input, we may process such User Input using our LLMs, artificial intelligence models, machine learning systems, computer vision technologies, image-processing systems, three-dimensional reconstruction technologies, and other related technologies.

Depending on the functionality you use, the processing may include:

• analyzing an uploaded image, drawing, document, machine part, or other technical input;
• identifying, extracting, or interpreting information contained in the input;
• identifying relationships, features, components, dimensions, structures, or other characteristics appearing in the input;
• generating an inferred, estimated, reconstructed, or otherwise AI-generated representation of an object or component, including a two-dimensional to three-dimensional representation;
• generating text, instructions, explanations, annotations, or other information based on your input;
• generating an animated or instructional visualization or video based on the information provided by you; and
• using the information generated through such processing to operate, maintain, evaluate, secure, debug, and improve our Services and our AI/ML systems, as described further below.

Use of User Inputs to improve our models and Services

We may use User Inputs, including inputs submitted to our LLMs, together with associated outputs and related interaction information, to develop, train, fine-tune, evaluate, test, improve, and enhance our artificial intelligence and machine learning models, algorithms, systems, and Services. For Metadome.ai customers, where applicable, the data processing and usage terms set out in the applicable signed agreement with us shall prevail over this Privacy Policy to the extent of any conflict.

Accordingly, your submission of User Input may contribute to the improvement of our models and Services. You acknowledge that you will not be entitled to any payment, royalty, compensation, ownership interest, or other consideration solely because your User Input or interactions with the Services are used to improve, train, evaluate, or develop our models or Services.

Where we use User Input for these purposes, we may use appropriate technical and organizational measures, including aggregation, de-identification, anonymization, or other measures designed to reduce the association of such information with an identifiable individual, where appropriate and required by applicable law.

Confidential and proprietary information

User Inputs may contain confidential, proprietary, and/or commercially sensitive information. You are responsible for determining whether particular information is appropriate for submission to the Services. Unless expressly agreed otherwise in writing, you should not submit any information that you are prohibited from disclosing to us or that you are not authorized to provide for processing through the Services. Where you are submitting User Input on behalf of a company, employer, client, customer, or other third party, you are responsible for obtaining any authorization required to do so.

No ownership transfer solely through submission

Your submission of User Input to the Services does not, by itself, transfer ownership of such User Input to us. Subject to the rights and licenses expressly granted under our Terms and this Privacy Policy, you retain any rights that you may have in your User Input.

AI-generated Outputs

Outputs are generated automatically using artificial intelligence and may be incomplete, inaccurate, approximate, inconsistent, or different from the actual physical object, machine, component, drawing, dimensions, specifications, or operating conditions.

For example, where you provide an image showing only one side of a machine component, the Services may generate an estimated or inferred representation of portions of the component that are not visible in the original image. Such representations are predictions or generated interpretations and should not be treated as verified measurements, engineering specifications, manufacturing drawings, or representations of the actual physical object unless independently verified by a suitably qualified professional.

No reliance for safety-critical or commercial decisions

The Services are intended to provide AI-assisted analysis, visualization, interpretation, and informational assistance and are not a substitute for professional engineering judgment, inspection, testing, manufacturer specifications, safety procedures, technical manuals, applicable standards, or other professional advice.

You should independently verify all Outputs before relying upon them for:

• manufacturing or fabrication;
• design or engineering decisions;
• construction or installation;
• modification or repair of machinery or equipment;
• operation of machinery or equipment;
• selection of materials, components, dimensions, tolerances, or specifications;
• establishing or modifying a manufacturing plant, production line, assembly line, or other industrial facility;
• safety-critical activities; or
• any other activity where an inaccurate or incomplete Output could result in injury, property damage, equipment failure, production loss, regulatory non-compliance, or other harm.

Use of the Services does not constitute an instruction, recommendation, solicitation, certification, or representation by us that a particular machine, component, structure, manufacturing process, repair procedure, plant, facility, or other physical system is safe, suitable, compliant, or fit for any particular purpose.

Legal obligations for processing information

The Website relies on a variety of legal bases to process your Personal Data, including:

• as necessary to fulfill the Website Terms;
• consistent with your consent, which you can revoke at any time;
• as necessary to comply with legal obligations;
• to protect your vital interests, or those of others;

Data retention

The period of retention may vary depending on the amount, nature, and sensitivity of your Personal Data involved but generally, this decision is shaped by the following criteria:

• if the data is necessary to provide our Service.
• if we have a legal or contractual need to retain the data.
• if you have the ability to access, edit and delete the data within your Metadome.ai account.
• if you would reasonably expect that we would retain the data until you remove it or until your Metadome.ai account is closed or terminated.

Retention of User Inputs and AI interaction data

Where appropriate and subject to applicable law, we may delete or de-identify User Inputs after the period necessary to provide the Services or for the purposes for which the information was collected.

Certain information may be retained in backup systems, security logs, aggregated datasets or de-identified datasets for longer periods where reasonably necessary for security, compliance, fraud prevention, business continuity, research and development, or other legitimate purposes.

We may retain IP addresses, device information, usage data and other technical information for periods reasonably necessary for security, troubleshooting, analytics, fraud prevention, legal compliance and other legitimate business purposes.

After the expiration of the applicable retention periods, we will either delete or anonymize your Personal Data.

In the absence of a legitimate need to retain your Personal Data, we will either delete or anonymize it. Where deletion or anonymization is not technically feasible, we will securely store your Personal Data and isolate it from any further processing until deletion is possible.
